Instructions for oral and poster presenters


  1. If a paper is not presented (oral or poster) by one of its authors, then the paper will be withdrawn from the proceedings and from IEEE Xplore.
  2. Authors may NOT delegate presentation of their paper to a non-author in attendance.

Oral Presentation

  • Please meet the session chair for your session at least 15 minutes before the session begins.
  • If you are using your own laptop for the presentation, please ensure that it is compatible with the LCD projector present in the room. As a precautionary measure, please also bring a USB memory stick containing your presentation.
  • If you will be using the laptop present in the conference hall, please bring a USB memory stick containing your presentation. The laptop will have Microsoft PowerPoint available on it. PDF slides are also acceptable.
  • You will have a 20 minute slot available to present your work. Please ensure that your presentation does not exceed 15 minutes. This will give the session chair and audience 5 minutes for additional questions.

Video Proceedings

All FG2015 oral presentations will be recorded and published on VideoLectures.NET. In order to include the talk in the FG 2015 video proceedings, one of the authors of the paper needs to sign a consent form. The form can be downloaded here. Please fill out the form and take it with you to the conference. The consent forms will be collected during registration. To synchronize your talk with the presentation slides you will also need to provide the filming crew with your presentation before the talk. Kindly make sure you are in the conference auditorium at least 15 minutes before the start of your session to have everything ready in time.

Poster Spotlight Presentation

  • During the Poster Spotlight Session, poster presenters will have the opportunity to give a brief 3-minute oral highlight of their poster in the conference hall. This presentation will serve as a teaser for the audience to view the poster during the corresponding poster session.
  • To facilitate this, every presenter should prepare a three-slide presentation and submit it through CMT. This presentation should not contain any video or audio objects, text animation, or non-static content of any kind. Each presentation should have exactly three pages (including the title slide).
  • The slides should be uploaded to CMT by April 24, 2015, 11:59 PM (Pacific Time). These presentations will be preloaded onto the conference laptop and cannot be modified. We regret that we cannot accommodate poster presentations on USB sticks brought to the session at the last minute, or presentations on authors’ laptops. For papers, for which the presentation is not uploaded by the specified deadline, the organizers will prepare a generic presentation consisting of the paper title, author list and abstract.
  • The slides in the Spotlight Session will be presented in quick succession. Therefore, each presentation must not exceed 3 minutes. Please make sure that you are present in the conference hall 15 minutes before the session begins.

Poster Presentation

  • All posters must be necessarily mounted before 8:30am on the day of the presentation. Mounting boards and pins/adhesives will be made available.
  • The posters in each session will be numbered. The list of numbers will be posted next to the poster boards. Please use your numbered location.
  • The maximum size of a poster is 0.95m wide and 1.80m tall (37.4 inches wide and 70.8 inches tall). At the top of the poster, please provide the title of the paper, names of the authors and their affiliations, all in bold lettering of about 2.5 to 3 cm size (~1 inch). Artwork and lettering should be large and clear enough so that the poster is readable from a distance of 1.5 m (~5 feet). A sketch of the poster board that will be used is available here.
  • Authors must be present at their poster for the entire duration of their session.
  • Posters must be removed from their mounting only after the end of the poster session on the day of the presentation.

Camera ready instructions

Summary of steps for submission of the camera ready papers:

  1. Prepare the final manuscript.- Finalize the paper by considering the reviewers’ comments.
    • Add the authors’ names and affiliations.
    • Carefully proofread your submission.
    • Make sure to use the camera ready templates:
      • 2014_04_msw_a4_format_FG2015_final.doc in Word.
      • In the LaTeX template uncomment the following lines:
        \documentclass[a4paper, 10pt, conference]{ieeeconf}
  2. Use the IEEE’s PDF eXpress validator to check compliance of your manuscript.
  3. Login to your FG 2015 CMT account. Choose the “Author” role in CMT if necessary.
  4. Create and Submit the IEEE Copyright File.
  5. Upload the final manuscript by January 27th, 2015,11:59 PM Pacific time.

Paper submission

Submissions to Face and Gesture 2015 should have no substantial overlap with any other paper already submitted or published, or to be submitted during the FG 2015 review period. All persons who have made any substantial contribution to the work should be listed as authors, and all listed authors should have made some substantial contribution to the work. All authors should be aware of the paper being submitted to FG 2015.

Papers presented at FG 2015 will appear in the IEEE Xplore digital library. If a paper is accepted, it is assumed that an author will register and attend the conference to present the paper. (Papers that are not presented will not go into IEEE Xplore.) The authors of the best reviewed FG 2015 papers will be invited to submit an extended version of the paper to a special issue of Image and Vision Computing.

The reviewing process for Face and Gesture 2015 will be “double blind”, and so the submitted version of the paper should be appropriately anonymized not to reveal the authors or authors’ institutions. Instructions for anonymizing your paper can be found here. Authors will have the opportunity to address issues raised by the reviewers during a rebuttal period before the final decision is made.

The submission process will be handled though the CMT system. Submissions may be up to eight pages in the conference paper format. Papers longer than six pages will be subject to a page fee (100 USD per page) for the extra pages (two max). The Word template can be downloaded here and the LaTeX template can be downloaded from here. Submissions have to be in pdf format, and are limited to a 10MB file size. Papers that use different formatting from the FG 2015 Latex or Word templates, have more than eight pages, or explicitly reveal authors’ identity will be automatically removed from the reviewing process.

Supplementary material (images, video, etc.) may optionally be submitted with papers, but be sure to maintain anonymity, including the file properties or other hidden text. The supplemental material has a file size limit of 100MB. The supplemental materials will not be part of the conference proceedings, so they are only there to aid the reviewing process. Reviewers are not required to view the supplemental material (though most reviewers are likely to do so), so any information critical to understanding the work should be in the main paper.

FG 2015 will be using the IEEE PDF eXpress for enforcing the requirements for papers to appear in IEEE Xplore. The final versions of all papers accepted for publication must adhere to the IEEE Xplore PDF specifications.

Paper submission instructions

  1. Prepare your manuscripts as per the IEEE specification (use LaTeX or Word template).
  2. Carefully proofread your submission.
  3. Register at the FG 2015 CMT system.
  4. Create a new paper submission for the “Main conference” track.
  5. Upload the title, abstract, author information, keywords, and the full paper to CMT system by October 20th, 2014 11:59 PM Pacific time (deadline extended).
